At AIMX Software, operating as a B2B Enterprise Restaurant Technology Company, we are committed to safeguarding the privacy and security of both our clients (Restaurant Operators) and their end-users (Restaurant Guests). This Privacy Policy outlines how the RestoDash OS and Maya AI ecosystem process, store, and protect data.
1. 100% Client Data Ownership
Unlike traditional booking aggregators, AIMX operates strictly on a "Zero Per-Cover Fee" and "Absolute Data Ownership" model. The Restaurant Client retains 100% ownership of all guest data, booking histories, and operational analytics.
AIMX Software acts solely as a Data Processor. We do not sell, rent, cross-reference, or share your guest lists with any third-party marketing entities or competing platforms.
2. Information We Process
To provide autonomous booking and operational services through RestoDash OS and Maya AI, we process the following data strictly on behalf of the Restaurant:
- Guest Information: Phone numbers, names, reservation times, and party sizes.
- Interaction Logs: Voice call audio and text transcripts generated by Maya AI for quality assurance and accurate reservation syncing.
- Operational History: Visit frequency for our VIP Loyalty Engine (3/5 Rule) and attendance records for the No-Show Risk Assessment Pipeline.
3. Enterprise-Grade Security & Access Control
We deploy strict infrastructure security to prevent unauthorized data access:
- Data Masking: Guest contact information is masked by default on the RestoDash OS floor monitoring dashboards.
- Manager Override Protocol: Full access to sensitive guest data requires a secure "Manager Override" action, utilizing a dedicated 4-digit PIN and OTP verification.
- Isolated Infrastructure: Client environments are hosted on high-performance DigitalOcean droplets, ensuring data isolation and eliminating API bottleneck vulnerabilities.
4. Third-Party Sub-Processors
Our ecosystem integrates with specialized third-party services to deliver core functionalities (e.g., Pinecone for vector databases, Make.com for workflow automation, and Twilio for communication routing). These sub-processors are bound by strict confidentiality agreements and GDPR-compliant data processing addendums.
5. Data Retention & Deletion
Guest data is retained only as long as the Restaurant Client remains actively subscribed to AIMX Software services, or as required by local laws. Upon termination of the SaaS agreement, the Restaurant may export their database before all localized instances are permanently purged from our active servers.
6. Cookies and Tracking Technologies
To ensure the proper functioning of our platform, analyze website traffic, and execute targeted B2B marketing, AIMX Software utilizes cookies, web beacons, and similar tracking technologies on our public website (aimxsoftware.com) and within the RestoDash OS environment.
We use these technologies for the following purposes:
- Essential/Operational Cookies: Strictly necessary for session management, user authentication, and maintaining the security of the Manager Override protocols.
- Performance & Analytics Cookies: Used to track how visitors interact with our website (e.g., via Google Analytics) so we can optimize our UI/UX and measure the performance of our SaaS platform.
- Marketing & Retargeting Cookies: Deployed to build relevant B2B advertising audiences, allowing us to deliver targeted promotional material to restaurant operators who have previously visited our site or interacted with our lead-capture forms.
